Cancellation Policy

Priorities shift, projects pause, and circumstances change. This policy explains how to cancel an active project, what happens financially, and how cancellation works alongside our Refund Policy.
1. How to cancel
Send a written cancellation request to contact@efancymedia.com from the email address used to place the order. Please include:
- Your order reference number or order date
- The project name
- The reason for cancellation (optional but helpful)
The effective cancellation date is the date your written request is received. We confirm receipt within 1 business day and outline next steps.
2. Cancellation by the client
The financial outcome depends on the project stage:
Before brief is finalised
If you cancel before we've delivered the discovery brief or held the kickoff call, you receive a full refund (100%).
After kickoff, before initial directions
If we've completed the kickoff call and discovery but haven't yet delivered initial directions, you receive a full refund (100%).
Initial directions delivered, no revisions started
If we've delivered the initial directions and you cancel, you receive an 80% refund. The 20% retained covers concept development time. See our Refund Policy for the full breakdown.
During revision phase
If you cancel after we've started revisions on a chosen direction, you receive a 40% refund. The remaining 60% covers directions and revision rounds already performed.
After final delivery
Once final files have been delivered and ownership transferred, the project is complete and cannot be cancelled. No refund is available at this stage.
3. Cancellation by Efancy Media
We may need to cancel a project in rare cases, including:
- The project request falls outside our skills, scope, or what we can lawfully provide
- The client has been unresponsive for more than 45 calendar days
- The client engages in abusive or harassing conduct toward our team
- Force majeure events (illness, natural disaster, infrastructure failure) prevent us from continuing
- We discover, after starting, that the project requires intellectual property we are not legally able to use
If we cancel before final delivery, we issue a fair partial refund based on work not yet performed, with a written explanation.
4. Project pause
If you need to pause a project rather than cancel, we can hold it open for up to 45 calendar days at no additional cost (longer than industry standard because we know clients sometimes need to step away for fundraising, product launches, or personal reasons). Pause requests must be made in writing.
After 45 days of paused status, we treat the project as cancelled and apply the relevant refund stage above. We always send a reminder before this happens.
5. Effects of cancellation
Once a project is cancelled:
- We stop all work immediately
- Files, drafts, and concepts created during the project remain Efancy's intellectual property and may not be used by you
- Any partial refund due is processed via the original payment method within 5–10 business days
- The project cannot be re-opened — to continue, a new order is required
6. Bespoke and retainer projects
Bespoke quotes and ongoing retainer arrangements may include custom cancellation terms specified in the written contract. Where such terms exist, they take precedence over this general policy. Retainers typically require 30 days written notice for cancellation.
